The KBS ordering app is a structured teamwear ordering and management platform built for invited clients and sales representatives to handle bulk apparel orders efficiently.
It streamlines sizing submissions, sales representatives’ reviewing process, along with invoice approvals and order tracking within a secure, role-based system.
The platform enforces minimum order rules for invoicing and stores all approvals safely in the cloud.
Thus, KBS Ordering app simplifies and modernizes the connection between clients and sales representatives, making teamwear ordering accurate, organized, and hassle-free anytime and anywhere.
Key Features
- The Platform follows a structured two stage order submission and approval process, ensuring accuracy before production. Clients first submit details (via CSV upload or manual entry) which are reviewed by the assigned sales representative before invoice generation and final approval.
- Clients can upload bulk order details via CSV file with required fields such as player name and size quantities (K2 - 10XL, L6 - L24). The system automatically validates minimum order quantity rules set by admins and prevents submission if requirement are not met.
- A minimum order quantity enforcement system ensure that product specific thresholds are met before the order proceeds, reducing production errors and operation inefficiencies.
- Sales representative act as a controlled checkpoints, with the ability to review, request correction and manage assigned client orders while access remains restricted through role based permissions.
- The platform has functionality of manual invoice creation and deposit tracking. Invoices are uploaded to the system, attached to the order record and included in the final stage.
- Clients must provide a digital signature and final confirmation before an order is locked. Once approved, orders become non editable and move to the deposit and production workflow.
- Secure cloud based encrypted storage ensures that all orders, invoices and approvals are safely stored with authenticated API access and activity logging.
- The system includes role based access control (RABC), ensuring clients can only view their own orders and sales representatives can access only their assigned clients.
- Comprehensive admin dashboard and reporting tools provided insights into total users,orders revenue, client and sales representatives management and downloadable order reports filtered by date and status.
Challenges
- Orders from Australia and New Zealand via Shopify API must be downloaded as CSV, with users able to filter by order date and collection ID for accurate reporting.
- Real-time chat is required between sales and client, client and admin, and sales and admin to ensure smooth and instant coordination.
- Clients need the ability to enter custom jersey names and numbers for bulk orders, which should then be automatically assigned to the appropriate sales representative.
Solution
- Integrated Shopify API to fetch Australia and New Zealand orders, allowing admins to download CSVs filtered by selected dates and collection IDs from both regions.
- Implemented real time communication between sales, clients, and admins using Socket.IO on Node.js for fast and reliable messaging.
- Enabled custom name and number options per product with an admin controlled field, so clients can personalize jerseys before placing bulk orders.
